Style Sheet and Submission Guidelines

These guidelines are for the benefit of the contracted contributor. These should be followed to guarantee a consistency and standard amongst entries.

Checklist for every entry:

Entry Length:

  • Short: 200- 400 words
  • Medium: 400-700 words
  • Long: 700-1000 words
  • Contextual Essays: not to exceed 1500 words

At the top of each entry:

  • Author name
  • Title
  • Date range related to entry
  • Date entry submitted
  • The article must begin with a brief (1-4 sentences) introductory opener for the article summarizing the central points or theme of the subject.
  • Word choice and sentence structure should be considered to suit a wide range of readers. Unnecessarily complex phrases and words should be avoided.
  • Any references to people or places should be briefly explained.
  • Subject matter should be presented from an objective perspective.
  • Avoid using quoted materials that require permission to reprint.
  • Avoid using subheadings.
  • Do not use contractions
  • Specialized, local, and regional terminology must be clearly explained in content, as the Encyclopedia audience will consist of national and international users.
  • Do not use in-text citations; list references as sources or endnotes (see below)
  • Sources/Endnotes: All factual information needs to be referenced with endnotes. Form of endnotes may vary, but enough information must be provided to locate reference and source. The entries undergo an editorial process whereby at least one editor with the appropriate subject expertise reviews the piece and verifies facts. These references will not be included in the published entry.
  • Suggested Readings: Provide a bibliography that will be published as part of the entry. This is not meant to be an exhaustive list but will serve as suggestions for further reading. Please remember that the target audience is non-specialists. This list can also include any reference to quality online material to which we can include links.
  • List of Keywords and Cross-References.
  • Image references: Include location of images and any ownership or copyright information.
  • The contributor is responsible for providing accurate information, and the author is asked to carefully verify spelling, names, dates of birth and death or accomplishments. The section editor will review initial submissions. Revisions may be requested. The editorial team and copyeditors will review final submissions. The author will have a chance to review the final edited version before it is published. The Online Encyclopedia is designed to allow revisions and updates taking into consideration new scholarship and changes.
  • The encyclopedia staff retains the right of editing and final disposition of all entries.

 

Style Guide

  • Do not use a serial comma unless there is ambiguity about the relationship of the last two items.
  • Place punctuation inside quotation marks when used.
  • Only use one space between sentences.
  • spell out the acronym or abbreviation on the first reference and then show the acronym or abbreviation after it.
  • Italics are used for the titles of works of literature and art or for phrases in other languages.
